Where

This tool is very close to being just what we need in terms of the options that it measures.

The tool has master categories and then inside these you choose from various sub-categories of emissions sources.

Master categories include Venue, Flights, Other Transportation, Audio/Visual, Communication, Production/Exhibition, Accommodation, Catering

You can input GHG sources such as energy, waste and material use across several master categories.

It is closely mapped to the GHG protocol and DEFRA emissions factor categorisation which is good from a GHG accounting point of view.

However it has copy/pasted extensive emissions factor options from the UK Govt (ex DEFRA) database and therefore has a lot of redundant options making it hard to pick through to find event-related ones.

Temporary power supply is a major facet of event production and this is not treated well in the tool.

The tool is free but your data is only kept for 180 days, if you wish to keep it longer, a fee is paid.

Features

USERS: Allows multiple users, to share the workload on entering data
ESTIMATE: Allows a pre-event estimation and a post-event calculation
DASHBOARD: total GHGs are added up and displayed.
COMPARISONS: Shows total GHGs of other events (by type)
VERIFICATION: Offers a third party emissions inventory validation service.

EMISSIONS FACTORS: In some categories you can add ‘user-defined’ EF’s or choose from a drop down of options

Details

EVENT TYPE: Choose from many event types
PARTICIPANTS: Total number, it doesn’t ask between attendees or other participants

ENERGY: Actual kWh usage measurement
ENERGY: Choose fuel type and litres of fuel, but it doens’t specify it is for mobile power generators
HVAC: Includes district heating or cooling
REFRIGERANTS: Offers the option to include fugitive emissions from refrigerants
MHE: fuel used in plant, machinery, equipment would need to be mixed in with the reporting for fuel in power generators
WATER: consumption, wastewater generated
FLIGHTS: number of trips, type in origin/destination airports and tool calculates distance & GHGs
FLIGHTS: upload a CSV or XLSX of flights, which is an excellent and convenient feature for events with a large number and complex flight itineries
RFI: It draws from the ICAO database and therefore the Radiating Force Index factor of 1.9 is not applied making GHGs for flights half that of other tools
PRIVATE JETS: not included
HELICOPTERS: not included
GROUND/MARINE TRAVEL: mode of travel, number of passengers, distance
TRAVEL: Does not split attendee travel from other participant travel. Each could be entered separately but it is not reflected in reporting
ACCOMMODATION: Room nights, by star category
ACCOMMODATION: Does not split between participants (crew, performers, talent) and attendee room nights
FREIGHT: of goods by weight and transport method
TRANSPORT: for infrastructure and use of whole vehicles by contractors etc, select a vehicle type and choose vehicle km or tonne.km
AIR FREIGHT: It doesn’t offer an option for air freight which is a major detractor from this tool’s completion
TRANSPORT: It groups travel and transport together, meaning you have to scroll through a large list of passenger travel options before getting to the vans and trucks. Then you have to enter one vehicle at a time, which is not practical.
MATERIALS: measured by material type and weight, using the UK (ex DEFRA) list of options
MATERIALS: This is included as an option in the Communications, Audio/Visual, and Production/Exhibition master categories
MATERIALS: Does not allow for typical materials used by events, and doesn’t include garments, branded merchandise etc. Only primary material.
F&B: Measures by number of meals or by kg of foodstuff
F&B: MEAL TYPE: Average meal, Meal with Beef/Chicken, Vegetarian Meal, Hot/Cold Snack, Burger & Fries, Sandwich
F&B: BEVERAGES: Alcoholic or Non-Alcoholic Beverages
WASTE: by weight, materials and processing type
WASTE: Material types includes an exhaustive list which has a lot of options not relevant for events, making this annoying to use
WASTE: Includes supplier/exhibitor removed waste
WASTE: Is included as an option in Venue, Communications, Audio/Visual, and Production/Exhibition master categories
DIGITAL: Can only be entered by user-defined emissions
